Workday Financials

Some fun facts:

1. Currently Purchase Requisitions and Expense Reports under $200 go right out without a business level approval. In Workday, all Requisitions and ER's from dollar zero will need a business office approval. Please be patient with the office staff, they will do their best to approve these transactions daily but there will initially be a delay in processing times as we all get to learn the system.

2. VIP #'s go away. You will need to use your ID in the stockroom and if you are approved to charge multiple COA (chart of accounts) numbers (old PTAO), you will need to tell them at the time of purchase. The stockroom is given the ability to split charging. You will notice a different look and process when using the CBIC Instrument Reservation System. No more VIP, you will need to know your Chart of Account (COA). Watch the video on the Workday site here.

3. The last day to submit a purchase requisition over $10k is Tuesday, June 6, 2017, to ensure it is entered into the Oracle system. The last day for requisitions to be submitted into SciQuest is Wednesday, June 28, 2017. You will then not be able to place orders until Wednesday, July 5th. We ask that you plan accordingly.

4. Everyone will have access to "Expenses." You can now start your own out of pocket reimbursement for submission to the business office.

5. Faculty members with University P-cards will only need to approve Expenses for out of pocket or use of the card when it was supposed to be a personal charge (we try very hard not to do this as it is against University policy). No more emails going to you to approve!

6. We are currently being pushed to process all P-card expenses by June 29th. Anything that hits a P-card after that date and prior to Workday Financials go-live will default to the department GA account and we will need to transfer the charges to the appropriate accounts. Please work with Staff to get all P-card charges processed as soon as possible.

7. The chemistry stockroom is tentatively scheduled to be closed 6/27/17-6/29/17, reopening 8:30 am on Friday, 6/30/17 using the new Inventory Management system which will utilize the new Workday COA's.

The Flipped Science Fair (10/14/17) flips the traditional science fair format on its head: middle school student judges will evaluate graduate students and postdocs presenting their current research in a science fair setting. Audition to be a presenter from May 11th-June 8th by signing up here.

International Student Energy Summit: June 13-16. Student Energy is a global charity working to create the next generation of energy leaders. The Summit will take place in Merida, Mexico, and will gather 700 students from 120 countries. All students will have the opportunity to give poster and/or oral presentations. Job Opportunities
